The Exports module (“Exports” menu, /exports/) lets you download your club's data or your own data, save custom exports, assemble them into workbooks and send them by e-mail at regular intervals. It requires the Exports module enabled and permission to view exports.
What can be exported
The available datasets are: members, bookings, completed flights, flight log, fleet, payments received, charges, club invoices, workshop jobs, anomalies, discovery flights, progression, currency tracking, club ratings, medical certificates, licences and ratings.
A dataset only appears if the relevant module is active for your club and your role has the matching permission. Many datasets have two scopes: “Whole club” for managers, “My data” for the others. Weight and balance or performance data cannot be exported.
Twenty-seven “generic exports” are ready to use, for example “Active members”, “Bookings of the month”, “Hours per aircraft”, “Logbook for the year”, “Charges awaiting payment” or “Medical certificates about to expire”.
Downloading an export
- Open “Exports”, search or filter by dataset. The star marks an export as a favourite.
- On the export's card, click the format button to download immediately.
- If the export has a “Prompted at run time” filter, the “Run” button opens a small form: period (“Today”, “This month”, “Last month”, “This year”, “Specific dates”…) and values. Choose the format then “Download”.
The formats are CSV, Excel (xlsx), JSON, PDF and calendar (.ics). The calendar only exists for bookings and discovery flights, in list mode. For CSV, you can choose the separator (semicolon by default, comma or tab), the encoding (UTF-8 or ISO-8859-15), the presence of a BOM for Excel, the decimal comma and the duration format.
Creating a custom export
The “New export” button is visible with permission to create exports. The screen offers these steps: choose a dataset, the columns, the filters (fixed or prompted at run time, combined as “all” or “at least one” conditions), the sort order, the output mode and sharing.
- “List” mode: one line per record.
- “Summary” mode: grouping with calculations (count, total, average, minimum, maximum).
- A preview of the first 25 lines is possible without saving.
Sharing is set between “Private”, “Selected roles” and “Whole club”. Recipients can run and duplicate an export, not edit it.
Workbooks
A “Workbook” assembles several exports into a single file: one sheet per export in Excel, one section per export in PDF, one CSV file per export in a ZIP archive, or a JSON. A workbook contains 12 exports at most, with sheet names limited to 31 characters and a possible common period. Lines are calculated with the rights of the person who downloads: an export they do not have access to is flagged as not included.
Scheduled deliveries
With permission to schedule, an export's “Schedule” button opens the “Scheduled deliveries” page.
- Daily, weekly or monthly frequency (day of the month from 1 to 28), at the full hour of your choice.
- Recipients: e-mail addresses (20 at most), recipient roles for anyone allowed to share, or a copy for yourself.
- “Send nothing when there is no data” option.
The file is sent as an attachment. Processing runs once an hour: the delivery happens within the hour following the chosen time, not to the minute. It runs with the rights of the delivery's owner and fails if the module is switched off, if the right is lost or if the export is no longer visible. “Send now” allows an immediate delivery by the owner.
Limits and history
An export is limited to 50,000 lines (the “Truncated” mention appears in the history) and each member can launch 60 runs per hour. The “History” page lists runs with the number of lines, the format and the origin. A member without administration rights only sees their own runs.
Frequently asked questions
Why can't I see a given dataset?
It depends on the relevant module (active in your club) and on your role's permission. Without the “whole club” permission, only the “My data” scope is offered, when it exists.
Can I export as ZIP?
Only for a workbook, which then produces one CSV file per export in a ZIP archive.
At what time does a scheduled delivery go out?
Deliveries are processed once an hour: it goes out within the hour following the chosen time.
Why is my export limited?
An export contains at most 50,000 lines. Beyond that it is truncated: refine your filters or split by period.
