Two billing flows coexist and they need to be told apart.
- The club bills its members: flight hours, membership fees, items. This is the Payments module.
- Prepavol bills the club: the subscription and the enabled modules. This is the Billing menu.
The club bills its members
The Payments module (“Payments” menu) manages member accounts. Rights are split into viewing your own account, viewing all accounts, managing and setting parameters.
Accounts and movements
The “Member accounts” section shows each member's balance, the total owed by debtors, the total in credit and the number of debit accounts, with an “All”, “Debtors” or “In credit” filter. A member's page shows their account statement and lets you add a “New movement” as credit or debit (cash, cheque, transfer, ANCV, card or adjustment).
Flight hour rates
The price of a flight is calculated at closing, in this order: the booking rate grid (“Hourly rate”, “Instruction fee”, “Minimum billed”, with validity dates, per aircraft and optionally per flight type), then, failing that, the price on the aircraft profile (price per hour as pilot in command and as dual). The flight type sets the mode: standard, dual or free. The basis is the Hobbs counter or block time, rounded to the minute or the tenth of an hour.
The amount is debited from the pilot's account when the flight is validated, only if the Payments module is active. See Book an aircraft, check out for a flight and close the flight.
Member invoices
An invoice is created automatically for each debit (flight, membership fee). The number follows the pattern PREFIX-YEAR-N (the default prefix is FA). The “Invoices” menu lets you download it as a PDF, and a member only sees their own. The Factur-X format is only produced if the club's SIREN number is filled in. The club can state whether it is subject to VAT and the rate.
Items, membership fees and accounting exports
Items are classified as membership fee, shop, hour package, discovery flight, fees and other. Three debit methods are offered: fully automatic, manual launch by the club, or pilot account balance only. Membership renewal can be automatic. Two accounting exports exist: the journal of entries (CSV) and the accounting entries file (FEC) in the tax audit format.
Online payment
Online payment goes through Stripe Connect, from Settings, Stripe tab, “Set up online payments”. Funds go directly to the club's Stripe account. Members can then:
- “Top up my account” from €1 to €5,000;
- “Save a card”, with an automatic card debit mode when the balance is negative by at least €1 (no new attempt for 48 hours after a failure);
- pay for a discovery flight by card.
The public offer announces “Free + 1%” for online collection: the platform commission is 1% by default and is set in the club's parameters. This function is only available if online payment is enabled on the platform.
Prepavol bills the club
The subscription is made up of a core and pay-as-you-go modules. The price depends on the number of active members (Local, Club, Large club, Network tiers) and an independent pilot has a solo offer. The current prices are published on prepavol.fr/#pricing, which prevails.
The “Billing” menu contains:
- “Subscription” (/billing/): your plan;
- “Modules & options” (/billing/modules/): the enabled modules, with the billing history and the invoice for each period;
- “Invoices” (/billing/invoices/): date, amount excluding tax, VAT, amount including tax, status and download;
- “Manage payment”, which opens the payment portal when your club has one.
Viewing invoices requires permission to view billing, and changing them permission to manage it.
Free trial
The trial is free, with no commitment and no credit card, and nothing is charged during the trial. Its length is shown at sign-up. The “Save your payment method” step can be postponed with the “Later” button.
Cancelling
According to the general terms of sale, cancellation is done from the billing area or by e-mail to [email protected], and takes effect at the end of the current period. No pro rata refund is provided. If you are unsure about your situation, write to us: see Contacting support.
